Responsibilities Successful applicant will play an active role in supporting the planning, coordination and management of the organisation’s office and estate operations to ensure that the organisation's facilities, infrastructure and workplace services are safe, reliable and operationally ready. The key responsibilities include: • Planning, monitoring and reviewing preventive and corrective maintenance programmes, including the assessment of work orders, maintenance requests and defect rectification. • Monitoring the condition and performance of building assets, identifying recurring issues, and recommending solutions which include appropriate repair, replacement or improvement works. • Conducting regular inspections and review of maintenance performance to ensure compliance with contractual requirements, statutory regulations and organisational standards. • Coordinating with contractors, consultants and stakeholders to resolve operational issues and ensure timely completion of maintenance works. • Maintaining building records, technical documentation and maintenance information to support effective facilities and asset management. • Administering assigned facilities management contracts and monitoring contractor performance to ensure compliance with contractual obligations, Key Performance Indicators (KPIs) and Service Level Agreements (SLAs). • Supporting procurement activities including the preparation of specifications, quotations, tenders, contract variations, extensions and waiver submissions. • Reviewing completed works, verifying service delivery and recommending Certification of Payment (COP) in accordance with contractual requirements. • Managing workplace operations and shared facilities to support the organisation's daily business and examination operations. • Administering the Resource Booking System (RBS) and coordinating room bookings, venue setup and facilities support to ensure the operational readiness of meeting, event and examination venues. Requirements • Professional Qualification in Facilities Management, Building Services, Estate Management, Engineering, Business Management or related discipline, with at least 2 years of relevant experience is preferred. • Experience in the public sector and familiarity with the Government procurement and contract administration process, workplace operations, project management would be an advantage. • Possess strong analytical, problem-solving, planning and organisational skills, with the ability to manage multiple priorities and deliver results in a dynamic environment. • Possess good communication, interpersonal and stakeholder management skills, with a proactive, resourceful and customer-centric approach to service delivery.
