Responsibilities The officer will provide essential administrative and coordination support to MOT’s strategic planning functions. The officer will assist in planning cycles, inputs collation, and logistical tasks to ensure smooth operations and alignment with Whole-of-Government (WoG) objectives. Specifically, the officer may be required to work on the following areas: • Agenda support: Assist in coordinating meetings, collating and/or preparing materials, and maintaining proper discussion records for MOT’s strategic planning agenda. • Planning cycle administration: Support the annual strategic planning, resource planning, and reporting cycle by collating inputs, tracking submissions, and ensuring timely follow-up. • Reporting support: Compile and organise inputs to support the preparation of performance and/or risk management reports for evidence-based decision-making. • Programme tracking: Maintain records of implementation progress, update tracking tools, and follow up with divisions or agencies on outstanding items. • Parliamentary matters support: Provide administrative assistance in preparing the Ministry for parliamentary sittings, collating inputs from MOT divisions and other agencies, and ensuring consistency in submissions. Maintain updated guides on parliamentary matters to support MOT officers. Support MOT divisions and agencies in delivering comprehensive support for MOT’s Committee of Supply sessions. • General administration: Handle procurement requests, payment processing, oversight on department budget, logistics for strategic planning events/meetings, engagement sessions and other administrative duties as assigned. Requirements The officer should be a Singapore Citizen with relevant working experience, and possess strong interpersonal, organisational, written and communication skills. The candidate should be self-motivated, resourceful and able to work both independently and as part of a team, demonstrating good initiative and strong computer literacy. A high level of meticulousness and attention to detail is required, together with the ability to multi-task, prioritise effectively and perform well under tight deadlines in a fast-paced environment. The officer should also have a strong sense of urgency, commitment and adaptability. The role requires the ability to track and manage multiple concurrent deadlines, and to work closely with colleagues within the Ministry and across agencies to deliver outcomes within stipulated timelines and to a consistently high standard of quality. A keen interest in improving processes is also valued.
