Step 2 · The role
This is a 2-year contract for an Senior Executive, Admin position in the School of Business & Accountancy. Responsibilities 1. Managing Administration of CET FQ & SC • Manage FQ and SC planning and scheduling, and coordination of trainers and venues • Manage trainers’ access to various systems and platforms (e.g. POLITEmall, STEP etc.) • Manage the collation of FQ and SC learning materials, documents, reports and records (e.g. Module Description, Teaching Plan, Module Review Report etc.) • Track and tabulate training hours for completed CET SC • Handle administrative enquiries from adult learners, trainers, and enterprise clients in a professional and timely manner 2. Managing & Supporting Operations • Support trainers on the necessary system and operation set up (e.g. Detailed Teaching Plan, assessment component etc.) prior to commencement of FQ • Support trainers in attendance tracking for FQ and SC in STEP • Assist with assessment or evaluation administration, where applicable • Collect feedback and support post-course documentation and follow-up • Support entry and tabulation of data (e.g. marks, GPA) for reporting purposes • For FQ involving on-job-training (OJT), coordinate placement of adult learners to companies 3. Events & Engagement Support • Manage and support CET-related events such as outreach, course briefings, workshops, seminars, and enterprise engagements • Manage scheduling, communications, and post-event administration and documentation 4. Other Duties • Liaise with internal stakeholders (e.g. tutors, finance, CET Academy etc.) to support CET operations • Coordinate and communicate with external trainers, partners, and vendors • Tracking of project and scheduling • Undertake other administrative duties and projects as assigned to support CET and school operations Requirements • Relevant administrative experience, preferably in a CET, education, or public sector environment • Strong organisational skills with attention to detail and ability to manage multiple tasks • Good communication and interpersonal skills for working with adult learners, trainers, and enterprise stakeholders • Proficiency in office productivity tools and administrative systems • Ability to work independently and collaboratively in a fast-paced operational environment
